ARTICLE 1 - Presentation and Contact
The 8 Hours Bike is organised by Beautiful Sports, a company specialising in the creation and management of amateur sports federations since 2013. Their mission is to make the adventure and passion of sport accessible to all amateur athletes, emphasising values such as enjoyment, dreams, simplicity, and responsibility.

ARTICLE 2 - Binding nature of the regulations for the '8 Hours Bike'.
Participation in the 8 Hours Bike event implies unconditional acceptance of these regulations. They are published on the official event website:https://www.8hourscycling.com
Participants, companions, and teams commit to respecting all provisions described in these regulations, as well as any modifications communicated by the organiser before the event. Any infringement may result in sanctions, including exclusion from the race.
Article 3 – Competitors
3.1 – General provisions
The 8 Hours of Cycling are open to any individual aged 14 or over in the calendar year of the event, whether they are licensed or not with a recognised cycling federation, of Belgian or foreign nationality, and this can be done individually (solo) or in teams of 2, 4, 6, or 8 people.
The total number of participants is limited for logistical and safety reasons. Once the maximum number is reached, registrations will be closed, even before the scheduled deadline.
All commitments are personal and nominative.
Competitors reaching the age of 14 in the calendar year of the event, including those licensed with cycling organisations, must provide a completed and signed parental consent form, accompanied by a copy of the identity card of the legal representative(s).
3.2 – Acceptance of the rules and code of conduct
Participation in the 8 Hours of Cycling implies unconditional acceptance of:
the official rules of the event, as published on the websitehttps://www.8hourscycling.com, and the code of conduct established by the organisation to ensure respectful, responsible, and fair play behaviour on and off the circuit.
Participants commit to respecting:
other competitors, whether from their team or another;
volunteers, officials, and members of the organisation;
safety instructions and traffic rules on the various circuits.
Failure to comply with these commitments may result in sanctions, ranging from a warning to immediate exclusion from the event, with no possibility of refund.
3.3 – Parental consent for minors reaching 14 after the event
Participants who reach the age of 14 after the date of the relevant event may exceptionally be allowed to participate, provided they supply:
a parental consent form signed by a legal representative, a copy of the identity card of the legal representative who signed the consent, a valid medical certificate or a sports licence permitting participation in competitive cycling.
The organisation reserves the right to refuse any registration that does not strictly meet these criteria.
3.4 – Accessibility for people with disabilities
The 8 Hours of Cycling are accessible to people with disabilities, subject to appropriate material adaptations and compliance with participation conditions (age, medical certificate).
Teams including one or more participants with disabilities must inform the organisation at the time of registration to ensure appropriate reception and safety for all on the circuit.
The acceptance of these registrations remains subject to validation by the organisation, depending on the capacity and safety of the event.
3.5 – Declaration of honour
By validating their registration, participants in the 8 Hours of Cycling commit on their honour to:
Respect the rules of the event as well as the instructions of the organiser and officials;
Be physically capable of participating in an 8-hour endurance cycling race on a demanding circuit;
Provide accurate information at the time of registration (identity, age, team composition);
Do not endanger their own physical integrity or that of other participants through inappropriate, reckless behaviour or actions contrary to the spirit of sportsmanship.
The organisation reserves the right to refuse or cancel the registration of any person who does not comply with these commitments at any time, without any possibility of a refund.
3.6 – Personal Data
As part of their registration for the 8 Hours of Cycling, participants authorise the organiser Beautiful Sports to collect and use their personal data for the following purposes:
Administrative management of registrations and teams,
Communication before, during and after the event,
Establishment of rankings and results,
Promotion of the event through the organisation's communication channels.
In accordance with the General Data Protection Regulation (GDPR), each participant has the right to access, rectify or delete their data upon simple request by email to info@beautifulsports.be.
No personal data will be transmitted to third parties without prior consent, except for partners directly involved in the organisation of the event (e.g. timekeepers, technical service providers).
3.7 – Right to Image
By participating in the 8 Hours of Cycling, each competitor authorises the organisation,
as well as its partners, to film, photograph and disseminate their image as part
of the promotion of the event, on all media (website, social networks,
press, posters, videos, etc.), without limitation of duration or territory.
This authorisation is granted free of charge and cannot give rise to any
financial compensation.
Any specific refusal regarding this image right must be reported in writing to
the organisation before the day of the event, via the addressinfo@beautifulsports.be.
Article 4 – Licences, medical certificates and insurance
4 – Insurance
Public liability insurance is included in the registration fees. However, no individual accident or personal injury insurance is included by default.
The organisation cannot be held responsible in any case of accident, fall or injury outside the provided guarantees.
Article 5 – Registrations
5.1 – Registration procedures
Registrations for the 8 Hours of Cycling are exclusively online via the official site:

Each team must designate a captain who centralises the information and formalises
the registration of all team members.
5.2 – Content of the registration
The registration is considered complete and validated only when:
the registration form is duly completed;
the full payment has been made;
The rules and the terms and conditions have been accepted.
Any incomplete registration may be cancelled without refund.
5.3 – Categories of participation
Participants can register in one of the following categories:
Solo
Team of 2
Team of 3
Team of 4
Team of 6
Team of 8
Sprint - 2 hours
Challenge - 4 hours
Mixed teams are allowed regardless of gender.
5.4 – Closure of registrations
Registrations are open until the deadline published on the official website, or until the maximum number of teams is reached.
Once the limit is reached, no additional registrations will be accepted, even if the deadline has not yet passed.
5.5 – Validation
Once the registration is validated, participants will receive a confirmation email with practical details related to the event.
Article 6 – Rates and payment conditions
6.1 – Pricing
The registration rates for the 8 Hours of Cycling vary depending on the size of the team and the registration period. A tiered pricing system is applied: the earlier you register, the more advantageous the rate.

6.2 – What the registration includes
The registration includes, in particular:
Access to the circuit for the duration of the event
Public liability insurance
A personalised frame plate
Official timing
Access to the paddock area
A communal rest area
Basic medical assistance
Some services (box rental, meals, merchandising) may be offered as paid options.
6.3 – Payment methods
Payment is made online at the time of registration, via the secure payment methods offered by the platform (credit card, SEPA transfer, etc.).
No registration will be considered without full payment.
6.4 – Invoicing
An invoice is automatically issued by the organisation after payment validation. It is sent to the team captain by email.

6.5 – Cancellation and refund
The cancellation conditions are specified in the General Terms and Conditions of Sale available on the official website.
In the event of cancellation by the participant, no refund will be made, except under exceptional conditions provided for in the GTC.
Article 7 – Conduct of the event
7.1 – Location and format
The 8 Hour Bike event takes place on a closed circuit that is fully secured. The format is a relay (or solo) endurance event lasting 8 consecutive hours. The goal for each participant or team is to complete as many laps as possible on the designated course between the start time and the official finish.
7.2 – Timings
📍 Welcome / Check-in: from 7:30 am
🚲 Official start: 10:00 am
🏁 End of the event: 6:00 pm
🥇 Prize giving: from 6:30 pm
The start time is fixed and will not be delayed, regardless of the number of teams present at the time of the launch.
7.3 – Relay and team strategy
Relays are free, with no limit on duration or frequency.
Only one cyclist per team is allowed on the track at a time.
Relay changes take place in the designated area, safely.
The relay handover is marked by the transfer of an electronic badge (timing chip).
7.4 – Race Safety
Wearing a certified helmet is mandatory at all times from the moment of access to the track. Participants must adopt responsible and cautious riding throughout the course, particularly in technical areas, tight turns, or downhill sections.
In the event of a technical or physical incident occurring on the course, the participant must, as far as possible, reach the relay area or immediately report their situation to the officials or marshals of the organisation.
The organisation reserves the right to withdraw any participant deemed unfit to continue, in order to ensure their own safety as well as that of other riders.
7.5 – Weather Conditions
The event takes place in all weather conditions, except in exceptional cases decided by the organisation if conditions jeopardise the safety of participants.
No suspension or interruption of the race will entitle participants to a refund.
Article 8 – Permitted and Prohibited Equipment
8.1 – Permitted Bicycle
The following bicycles are permitted in the event:
Traditional road bikes (rim or disc brakes)
Gravel bikes
Electric-assist bikes are prohibited
Each bike must be in perfect working order, and the organisation reserves the right to refuse any bike deemed dangerous or non-compliant.
8.2 – Mandatory Equipment
Each participant must be equipped with:
An approved helmet (CE or equivalent)
A frame plate provided by the organisation, properly fixed and visible
A timing system (electronic badge or chip) issued at check-in
An outfit suitable for an endurance event
8.3 – Prohibited Equipment
For safety reasons, the following items are strictly prohibited on the circuit:
Electric or motorised bikes, fixies, time trial bikes, triathlon bikes, recumbent bikes, tandems, cargo bikes or other special bikes are not allowed.
Extensions
Headphones, earphones or any built-in audio system
Cameras not securely fixed (such as handheld GoPros or chest-mounted without a certified harness)
Unstable objects or those not securely attached to the bike
Any breach of the equipment regulations may result in the immediate exclusion of the competitor or the team concerned.
Article 9 – Paddock Areas
9.1 – Access to the Paddocks
Each registered team has a shared paddock space, located in close proximity to the relay area and the pits. This space allows for:
The rest of the runners between relays,
The logistical management of the team (equipment, supplies, strategy),
Real-time monitoring of the race.

Article 10 – Rankings and Awards
10.1 – Overall Ranking
The overall ranking is based on the total number of laps completed by each team (or solo) between the official start (10:00) and the end of the event (18:00).
In the event of a tie on the number of laps, the advantage will be given to the team that completed its last lap in the shortest time.
The ranking is carried out using an electronic timing system provided by the organisation.
10.2 – Category Rankings
Separate rankings will be established for the following categories:
Solo
Team of 2
Team of 3
Team of 4
Team of 6
Team of 8
Sprint - 2 hours
Challenge - 4 hours
Mixed (team composed of at least 2 different genders)
Other rankings or challenges (Corporate, Clubs, etc.) may be added at the discretion of the organisation. These categories will be announced in advance on the official website.
10.3 – Awards
Symbolic awards and partner gifts will be presented to the top-ranked teams and runners in each category.
The awards ceremony will take place from 18:30 in the podium area.
Teams are invited to participate in a good mood, with arms raised and smiles.
No awards will be sent by post in case of absence.
10.4 – Complaints
Any complaint regarding the results must be submitted in writing to the organisation no later than 30 minutes after the publication of the official rankings.
Article 11 – Safety and behaviour during the race
11.1 – Safety rules
The safety of all participants is a top priority.
In this regard:
Wearing an approved helmet is mandatory at all times on the circuit, without exception.
Participants must respect the racing lines, avoid dangerous overtaking, and signal their intentions when changing lines.
The technical areas of the circuit (blind corners, steep descents, heavy braking zones) must be approached with caution and clarity.
Any fall or technical problem must be reported to a marshal or the organisation.
A medical rescue service is permanently present on the circuit.
11.2 – Relay zone
Relays can only take place in the designated area, marked by the organisation.
Only one runner per team is allowed on the track at a time.
The relay is carried out by transferring the timing badge.
No stopping, slowing down, or badge exchange will be tolerated outside of this area.
Any relay carried out outside of this area may result in the cancellation of the relevant lap or a time penalty.
11.3 – General behaviour
Each participant agrees to:
Adopt a respectful and responsible attitude towards other runners, volunteers, officials, and the environment;
Do not endanger other participants with inappropriate or aggressive behaviour;
Follow the organisation's instructions at all times.
The following behaviours will result in immediate sanctions, which may include exclusion:
Endangering another participant,
Dangerous overtaking or blatant unsporting behaviour,
Failure to comply with safety instructions,
Use of prohibited equipment (headphones, handheld camera, etc.),
Disrespectful remarks or attitude.
Article 12 – Cancellation, force majeure and liabilities
12.1 – Cancellation by the organisation
The organisation reserves the right to cancel the event in the event of:
Extreme weather conditions making the event dangerous (storm, severe thunderstorm, etc.);
Decision by local or national authorities (safety, public health, administrative ban);
Force majeure or any event beyond the organiser's control.
In the event of cancellation before the day of the event, the organisation will endeavour to offer a postponement or partial refund, depending on the costs already incurred. No additional compensation can be claimed.
12.2 – Withdrawal of a participant
Any withdrawal by a participant or team will not result in any refund, except under the conditions set out in the terms and conditions available on the official website.
12.3 – Liability
The organisation disclaims all liability in the event of:
Loss, theft or damage to personal belongings;
Injury or accident caused by reckless behaviour or non-compliance with the regulations;
Damage caused to a third party by a participant.
Each competitor participates at their own risk, and it is recommended that they take out personal supplementary insurance.
Article 13 – Acceptance of the regulations
Participation in the 8 Hours of Cycling implies full acceptance of these regulations, as well as the General Terms and Conditions of Sale, available onhttps://www.8hourscycling.com
Competitors, team captains, and companions acknowledge having read them and commit to complying without reservation.
Non-compliance with the regulations may result in immediate sanctions, such as time cancellation, temporary or permanent exclusion, with no right to a refund.
Article 14 – Amendments to the regulations
The organisation of the 8 Hours of Cycling reserves the right to make changes to these regulations at any time and without notice, particularly for:
Safety reasons, adaptation to health or legal contexts, logistical or technical adjustments related to the circuit or the conduct of the event.

Participants commit to being aware of updates, particularly in the days leading up to the event.
Article 15 – Final provisions
Any situation not provided for in these regulations will be decided sovereignly by the organisation, in conjunction with officials and technical partners if necessary.
In the event of a dispute, only the courts of Brussels shall have jurisdiction.
The French version of the regulations shall prevail.
Article 16 – Environment and Sustainability
The 8 Hours of Cycling are committed to respecting principles of sustainability and environmental responsibility. In this regard, each participant, companion or staff member agrees to:
Not to throw any waste on the circuit, in the paddock areas or in the common spaces;
To systematically use the recycling facilities provided throughout the site;
To prioritise carpooling or shared transport modes to get to the event location;
To scrupulously respect the natural integrity of the host site and its surroundings (protected areas, wildlife and flora).
Sanctions (which may include immediate exclusion) may be applied to any participant caught in the act of deliberate pollution or failure to respect the environment.
Article 17 – Spirit of the Event
The 8 Hours of Cycling are much more than just a competition: it is a collective experience, a personal challenge and a true celebration of cycling accessible to everyone.
The organisation encourages a sporting, inclusive, festive and caring mindset, based on mutual respect between the riders, volunteers, staff and the public. Each participant agrees to:
Demonstrate fair play and courtesy at all times;
Scrupulously respect the safety instructions and the rules of the event;
Contribute to the friendliness and positive energy of the event.
The aim is to make this event a friendly, motivating and memorable moment, where surpassing oneself is combined with pleasure and safety.
Article 18 – Partners and visibility
The official partners of the 8 Hours of Cycling actively contribute to the smooth running of the event through logistical, technical or financial support. In this regard:
Visibility spaces are reserved for them on the event site (village area, paddocks, podium,
etc.);
The name and/or logo of the partners may appear on communication materials, race numbers, frame plates or goodies given to participants;
Participants authorise the organisation to associate their image with that of the event partners
in the context of promoting the event (see Article 3.7 – Right to image).

Article 20 – Access to the circuit
Access to the event area and the course is strictly reserved for individuals duly accredited by the organisation.
Each participant, companion and staff member will receive an official access pass (badge or wristband) allowing:
Entry into the general area of the site;
Access to living areas, paddocks (stands) and reception areas (if reserved);
The right to access technical areas defined by the organisation.
Anyone unable to present their official accreditation or attempting unauthorised access is subject to immediate exclusion from the site, for themselves and their team if applicable, without the possibility of a refund.
Article 21 – Parking and logistics
Free or paid parking areas will be available near the circuit for:
Participants,
Accompanying persons,
Technical teams.
The areas will be clearly marked and must be strictly adhered to for safety and flow reasons.
Teams with a technical vehicle or van are invited to mention this during registration to facilitate logistical placement.
Article 22 – Catering and supplies
Catering stands will be open all day near the paddock and in the village area.
Teams are allowed to provide their own supplies, within reasonable limits and without obstructing traffic in the paddocks.
Article 23 – Exhibitor village and activities
A partners & exhibitors village will be set up at the heart of the event, featuring:
Brands from the cycling world,
Activities for young and old,
A DJ set or musical atmosphere during the day.
Participants are invited to spend time there outside of their relays to enjoy the atmosphere, meet the exhibitors, and experience the event in its entirety.
Article 24 – Lost property and assistance
During and after the event, lost items will be centralised at the information/welcome point located in the village.
Any loss or suspicious item must be reported to the organisation.
A light mechanical assistance service will be offered in the technical area, but each team remains responsible for its own equipment (bike, tools, spare parts).

All official information related to the event (rules, schedules, briefings, rankings, last-minute changes) will be communicated via:

It is the responsibility of each team captain to follow the official channels and relay the information to their teammates.
Article 26 – Pre-race briefing
A mandatory briefing will be sent in the days leading up to the event, to remind:
The main safety rules
The functioning of the relays
The technical or specific instructions for this edition
The answers to the last questions
Article 27 – Behaviour off the track
The behaviour of participants and their companions outside the track (paddock areas, villages, car parks, reception areas) must remain exemplary. Everyone present commits to being:
Respectful of the hosting infrastructure and the furniture provided;
In line with the sporting and collective spirit that drives the event;
Responsible and courteous towards other teams, the organising staff, volunteers, and the public.
Any form of damage to equipment, any disrespectful behaviour, or any abuse (excessive alcohol consumption, unjustified noise disturbances, etc.) may result in disciplinary sanctions ranging from a warning to permanent expulsion from the site.
Article 28 – Medical supervision
A professional medical service is deployed on site for the entire duration of the event.
In case of an incident:
Participants must immediately alert a commissioner or go to the assistance area.
The organisation reserves the right to withdraw a runner deemed unfit to continue, even against their wishes.
Medical expenses not covered by basic insurance remain the responsibility of the participant.
Article 29 – Weather, interruption or suspension
The event takes place in all weather conditions, except in the case of an alert making the circuit impracticable or dangerous (severe storm, tempest, thick fog, etc.).
The organisation may decide to:
Temporarily neutralise the event
Modify the schedule or duration
Suspend or cancel the race in case of force majeure.
No refunds can be claimed in this context, except for exceptional provisions defined in the T&Cs.
Article 30 – Participant's Code of Honour
Taking part in the 8 Hours of Cycling means:
Respecting others, the organisation, the venue, and oneself
Sharing a moment of achievement and enjoyment, regardless of one's level
Riding for the team, with the desire to give your best
Making noise, enjoying the atmosphere, and coming back next year!
